This role is critical in creating a positive first impression for visitors, clients and colleagues, while ensuring the smooth, secure and efficient operation of all reception and front‑of‑house services. As the first point of contact for the business, you will represent Mott MacDonald’s values, professionalism and commitment to excellence. You will take ownership of reception services in Riyadh, working closely with the KSA Administration and WIN teams, and forming part of the MME Central Services Administration Team, reporting to the Office Facilities Manager – KSA. This is a role for someone who takes pride in delivering a first‑class experience, builds strong working relationships and thrives in a collaborative, fast‑paced professional environment.Key Responsibilities (but not limited to)Reception And Visitor ExperienceManaging the front reception desk and providing a professional, welcoming and efficient service to all visitors and callersGreeting, welcoming and announcing visitors, ensuring a consistently positive and professional first impressionActing as the first point of contact for incoming calls, screening and directing calls appropriately and providing basic information where requiredEnsuring all visitors receive a verbal safety briefing covering office safety and emergency proceduresMaintaining office security by following company procedures, managing visitor logs and issuing visitor access badgesFacilities and office environmentEnsuring the reception area, lobby and meeting/conference rooms are clean, safe and presentable at all timesProactively identifying and addressing any issues that may affect safety, comfort or presentation, coordinating with the Office Assistant or escalating to the Assistant Office Services Manager as appropriateBooking meeting and conference rooms and arranging catering and refreshments as requiredAdministrative and operational supportManaging incoming and outgoing mail, courier services and deliveriesCoordinating hotel bookings in Riyadh for visiting staff and managers, including liaising with hotel representatives and conducting hotel inspectionsManaging the driver schedule, allocating journeys and maintaining accurate daily journey logsPreparing Local Purchase Orders (LPOs) for office goods and services, including stationery, cleaning and pantry supplies, in line with preferred suppliersBusiness support and coordinationProviding administrative support to the Riyadh administration team, including CV formatting and timesheet‑related tasksManaging and updating office Compass pagesMonitoring the KSA administration email inbox and distributing correspondence to relevant stakeholdersDownloading Requests for Proposals (RFPs) and related documentation from client portalsUploading Mott MacDonald technical and financial proposals to client portalsDrafting professional correspondence and lettersFormatting Word documents and PowerPoint presentations in line with Mott MacDonald brand and quality standardsGeneralSupporting ad‑hoc tasks, initiatives and projects as required to support the wider businessCandidate SpecificationWe Are Looking For Someone Who Brings Professionalism, Attention To Detail And a Strong Service Mindset.
