Job Description
<div><p>We are looking to hire a<b>Receptionist (Russian Speaker)</b>who will be responsible for managing front office operations, greeting visitors, handling calls and correspondence, and ensuring smooth day-to-day reception activities for our client based in Dubai – which is one of the largest companies in the region.</p><p>This position is a<b>contract role with an initial duration of 12 months and is renewable</b>.</p><p>The role sits within the<b>Admin&Reception Function</b>and reports directly to the<b>Office Manager</b>.</p><h3>Key responsibilities:</h3><ul><li>Act as the main point of contact for guests/visitors, ensuring they are greeted warmly, provided with accurate information, and directed appropriately.</li><li>Coordinate with hosts to arrange beverages and hospitality services for visitors and meeting rooms.</li><li>Assist visitors with requests such as transportation arrangements and general inquiries to ensure a positive experience.</li><li>Maintain accurate visitor logs and issue/collect visitor passes.</li><li>Inform the Sales team about walk-in leads or potential prospects.</li><li>Handle all incoming and outgoing telephone calls professionally and direct them to the relevant personnel.</li><li>Manage incoming and outgoing mail and courier services, ensuring proper distribution and record keeping.</li><li>Maintain courier and mail logs for tracking and invoicing purposes.</li><li>Coordinate with drivers/messengers for document collection and delivery.</li><li>Support meeting room bookings and coordinate requirements with internal teams.</li><li>Liaise with IT support for meeting room equipment setup and troubleshooting.</li><li>Maintain and update staff contact lists.</li><li>Ensure the reception desk is always operational, organized, and well-stocked.</li><li>Keep the reception and front office area clean and presentable at all times.</li><li>Provide support for VIP visits in line with company protocols.</li><li>Ensure compliance with company policies and procedures.</li><li>Assist with ad hoc administrative tasks as required.</li><li>High School diploma or 1–2 years diploma or equivalent qualification.</li><li>1–2 years of experience in customer service, reception, or a related field.</li><li>Strong customer service and interpersonal skills.</li><li>Excellent communication skills in English and<b>Russian (mandatory)</b>; Arabic is an advantage.</li><li>Ability to handle calls, visitors, and administrative tasks efficiently.</li><li>Strong organizational and multitasking abilities.</li><li>Professional appearance and positive attitude.</li><li>Ability to work under pressure and manage multiple priorities.</li><li>Proficiency in basic office tools and systems.</li></ul><h3>Availability:</h3><p>Preference will be given to candidates available immediately after accepting the offer.</p><p>We are looking for a candidate who will be able to work in<b>United Arab Emirates</b>.
