Job Description

Key Responsibilities1. Executive & Personal SupportProvide direct administrative and personal support to the Owner on a daily basisManage complex calendars, appointments, and scheduling across business and personal commitmentsHandle confidential correspondence, emails, and documentation with the highest level of discretionOrganize travel arrangements, including flights, accommodation, visas, and itinerariesMaintain and organize confidential files, records, and documentation2. Communication & CoordinationAct as the primary point of contact between the Owner and internal/external stakeholdersCoordinate follow-ups on key actions, ensuring timely execution of directivesLiaise with senior management and ensure alignment with the Owner’s prioritiesDraft professional communications on behalf of the Owner3. Household & Domestic Staff ManagementOversee and manage all domestic workers within the householdPrepare schedules, duty rosters, and task allocations for household staffHandle HR-related responsibilities for domestic workers, including:Payroll managementLeave tracking and approvalsEnsure smooth day-to-day household operationsManage all government-related processes, including:Visa applications and renewalsEmirates ID processingImmigration and labor-related documentationTrade license renewals and company documentationLiaise with government authorities, regulators, and external service providersEnsure compliance with UAE laws, regulations, and corporate requirementsPrepare and submit regulatory filings and maintain proper documentationTrack deadlines and ensure timely completion of all compliance-related activities5. Corporate Governance & Compliance SupportSupport in maintaining compliance with corporate governance requirementsMonitor regulatory changes and ensure adherence to applicable lawsMaintain accurate records of licenses, permits, and legal documentationAct as a liaison between stakeholders, regulatory bodies, and management when required6. Administrative & Office ManagementMaintain filing systems (digital and physical) and databasesEnsure proper documentation and record-keeping standardsAssist in improving administrative processes and operational efficiencyQualifications & ExperienceBachelor’s degree in Business Administration or a related fieldMinimum 4–7 years of experience as a Personal Assistant / Executive AssistantExperience supporting senior executives, family offices, or high-net-worth individuals preferredPrior experience handling domestic staff management and PRO activities is highly desirableStrong organizational and multitasking abilitiesHigh level of discretion and confidentialityExcellent communication and interpersonal skillsFamiliarity with UAE government procedures and regulatory processesAbility to manage both corporate and personal environments seamlesslyProactive, detail-oriented, and solution-driven mindsetWhat We’re Looking ForSomeone who can operate with trust, professionalism, and ownershipComfortable working in a fast-paced, high-responsibility environmentAble to balance business priorities with personal and household needs#J-18808-Ljbffr
