We are currently seeking a highly professional and experienced Executive Secretary to provide comprehensive, high‑level administrative support to our Chief Executive Officer (CEO) and Vice President (VP). The ideal candidate will be a proactive, organised, and discreet individual capable of managing a demanding workload in a fast‑paced environment. This role is critical to ensuring the smooth and efficient operation of our executive office.</p><h3>Responsibilities</h3><ul><li>Manage and maintain the complex and demanding schedules of the CEO and VP, including arranging appointments, meetings, and conferences.</li><li>Coordinate all aspects of executive travel, including booking flights, accommodation, and ground transportation, and preparing detailed itineraries.</li><li>Prepare and edit correspondence, communications, presentations, and other documents on behalf of the executives.</li><li>Act as the primary point of contact between the executives and internal/external stakeholders, screening and directing phone calls and emails.</li><li>Organise and attend meetings, ensuring the executives are well‑prepared; this includes taking minutes, distributing them, and following up on agreed action points.</li><li>Handle confidential information with the utmost discretion and integrity.</li><li>Manage executive expenses, process invoices, and assist with budget tracking for the executive office.</li><li>Conduct research and compile data to prepare documents for review and presentation by executives.</li><li>Maintain an efficient and organised filing system for both electronic and physical documents.</li></ul><h3>Qualifications</h3><ul><li>Proven experience as an Executive Secretary, Executive Assistant, or in a similar senior administrative role, supporting C‑level executives.</li><li>Exceptional organisational, planning, and time‑management skills with a proven ability to multitask and prioritise work.</li><li>High proficiency in the complete Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).</li><li>Excellent verbal and written communication skills in English; fluency in Arabic is highly advantageous.</li><li>A high degree of professionalism, discretion, and an understanding of the importance of confidentiality.</li><li>The ability to work independently, remain calm under pressure, and meet tight deadlines.</li><li>A proactive approach to problem‑solving with strong decision‑making capabilities.</li><li>A bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.</li></ul><h3>Benefits</h3><ul><li>A competitive remuneration package.</li><li>An opportunity to work in a dynamic and professional environment that supports career growth and development.</li><li>Play an integral role within a forward‑thinking company that is a leader in its field.</li></ul></div>#J-18808-Ljbffr
