Executive Secretary to the Group CEOReports ToGroup Chief Executive Officer (CEO)Job SummaryThe Executive Secretary to the Group CEO provides high-level administrative, organizational, and strategic support to the Group CEO. The role requires exceptional professionalism, discretion, and efficiency, acting as a key liaison between the CEO, executive leadership, board members, and external stakeholders. The Executive Secretary ensures smooth day-to-day operations of the CEO’s office and supports effective decision-making across the Group.Key ResponsibilitiesExecutive & Administrative SupportManage the Group CEO’s calendar, appointments, travel arrangements, and meeting schedulesScreen, prioritize, and handle correspondence (emails, calls, letters) on behalf of the CEOPrepare, review, and format reports, presentations, briefing notes, and executive documentsEnsure timely follow-up on action items arising from meetings and executive decisionsMeeting & Board SupportOrganize executive meetings, board meetings, and committee sessionsPrepare agendas, meeting packs, and presentationsTake accurate minutes and track resolutions and action pointsCoordinate communication between the CEO, Board of Directors, and senior managementCommunication & LiaisonAct as a central point of contact between the CEO and internal/external stakeholdersManage confidential and sensitive information with absolute discretionDraft professional correspondence and communications on behalf of the CEOCoordinate with group companies, subsidiaries, and functional headsStrategic & Operational SupportAssist the CEO in monitoring key strategic initiatives and deadlinesSupport special projects, research, and analysis as assignedTrack performance reports and executive dashboards when requiredHelp ensure alignment of CEO priorities across the GroupOffice & Process ManagementMaintain organized electronic and physical filing systemsImprove administrative processes for efficiency and accuracyEnsure compliance with company policies and governance requirementsQualifications & ExperienceBachelor’s degree in Business Administration, Management, or a related fieldMinimum 5–10 years of experience as an Executive Secretary, Executive Assistant, or similar role supporting senior executivesExperience supporting a Group CEO, Managing Director, or Board-level executive is highly preferredSkills & CompetenciesExceptional organizational and time-management skillsStrong written and verbal communication skillsHigh level of confidentiality, integrity, and professionalismAbility to multitask and work under pressure with minimal supervisionStrong attention to detail and problem-solving skillsProficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital collaboration toolsPersonal AttributesProactive, reliable, and highly discreetCalm, confident, and diplomaticStrong interpersonal skills and executive presenceFlexible and adaptable to changing prioritiesWorking ConditionsFull-time positionMay require extended hours to support executive schedulesOccasional local or international travel may be required#J-18808-Ljbffr
