Job Description

OverviewTo handle reception area activities. Serves as the first point of contact with the firm and the office for visitors and callers. Handle all internal and external inquiries and carry out administrative activities of the front office.ResponsibilitiesAdhere to the allocated budget for the administrative function of the officeGreet visitors, arrange relevant passes and ensure all callers and visitors are dealt with promptly, courteously and accuratelyEnsure visitors are made comfortable, met in a timely basis by their host, shown to the appropriate room, and assisted with parking if relevantFloorhost responsibilities: managing floor operations (e.g., cleaning, FM, meeting rooms, hourly floor checks)Fill up the CAFM form/App for facilities/maintenance issuesCheck meeting room bookings day before for full day, wrong floor, etc.; liaise with staff directly or advise Central FloorhostDeal with daily issues if EA cannot handleCheck occupancy against bookings on assigned floorSit when not on cover at floor host receptionsMaintain visitor logsManage Parking Validators LogsCoordinate with mailroom for outside delivery/courier services with the help of Office administratorsPerform general maintenance of the reception areaCoordinate with Security where relevantAct in accordance with regulationsPerform other administrative duties as required (e.g., issuing PwC access cards)Answer queries from visitors and callers and refer them to the appropriate personAct as a key resource and liaison to other functional areas of the business, building crossfunctional relationships as neededLearning and GrowthWork towards being a high quality internal service provider and ensure that all administrative support requirements are being metAct as a key resource and liaison to other functional areas of the business, building crossfunctional relationships as neededEducationHigh school certificate (equivalent) or Bachelors degreeLanguageFluency in spoken and written English; proficiency in Arabic is an advantage; French is a plusOverall ExperienceMin 3 years of experience in a customer service related role such as front desk or receptionist roleSpecific SkillsExperience with a professional services firm is an advantageKnowledge and SkillsStrong organizational skillsExcellent oral communication and interpersonal skillsMust possess a professional telephone mannerDemonstrated ability to work under pressureDemonstrated ability to work on own initiativeDemonstrated team playerMust possess a warm, friendly and professional demeanorBasic PC skills on Excel and WordBasic keyboard skills (at least 25 wpm)#J-18808-Ljbffr
