UAE National Role - Business Support AssistantOur client, a multinational company, is searching for a UAE national to join their Dubai team. The candidate will be supporting the Chief Representative and General Manager in an Executive Assistant capacity.The role will include administration support:To provide full administration support to the Chief RepDay to day administration of calendar, meetings, phone and e-mailsSchedule and coordinate external and internal meetings and preparation of meeting materialAdministrative arrangements for office and team meetings: booking meeting rooms and accessories for meetingsSecretarial services for the Team – typing letters, sending faxes as required, check and distribute incoming mail, attend telephone callsBusiness travel coordination for the team: coordinating procurement of air tickets, organizing hotel, Marhaba, transport for overseas visitors and updating travel link in systemProcess invoices for paymentMaintain petty cashMaintain fireproof safe listMaintain staff passport copies/photographsCirculate magazines and other printer matterBook rent-a-car for business travel within the regionManage travel schedules for senior executives visiting the regionAdminister the documents at info fortMaintain Chief Rep / MT communications/letters/files with various partiesMaintain stationery, print business cards for teamPreparing Expense Claims for Management Team and keeping track of claims from the airportManaging inventories of promotional collateral:Sourcing for MESA - selection, ordering and stock keeping give-aways and PR materialInternal communication between departments:Regular monitoring of PR activities, training, new contacts, staff organization changesLanguages: English - Fluent / Excellent; Arabic - Fluent / ExcellentOwn a CarAnyHave Driving LicenseAnyJob SkillsQualifications/ExperienceGood communication skillsAbility to function independently with minimum supervisionNetworking skills are essentialProficiency in PC applicationsFluency in written and spoken EnglishStrong time management & organisational skillsProficiency in MS OfficeConfidentiality essentialEducation:GraduateLanguages Needed: English and Arabic - PreferredCompetencies/CharacteristicsHSE minded – awareness and commitmentSelf-Starter & Bias For ActionStrong verbal and written communication skills & customer responsivenessStrong team player (ability to work in a multicultural environment)Good interpersonal skillsAbility to work under pressure – including effective time managementProficiency in MS-Office & other systemsAbout The CompanyMichael Page is one of the world's leading professional recruitment consultancies, specializing in the placement of candidates in permanent, contract, temporary and interim positions with clients around the world.
