Job Description

We are looking for a highly organised, proactive, and adaptable Personal Assistant / PRO to support the setup and day-to-day operations of our new Dubai office. This role is perfect for someone who thrives in a fast-paced, high-pressure environment and is confident in taking ownership of a broad range of responsibilities—from managing administrative processes to supporting senior executives and liaising with external stakeholders. You will play a key role in ensuring the smooth and efficient launch of our new office and the continued organisation and effectiveness of our team.Key ResponsibilitiesAssist with the end-to-end setup of the Dubai office, including suppliers, utilities, equipment, and servicesCoordinate with vendors, contractors, and internal stakeholders to ensure timely execution of setup tasksSource and manage office supplies and furnitureSupport with high-level communications and follow-ups where neededMaintain an organised and systematic filing system (digital and physical) for office and employee recordsHandle incoming and outgoing correspondence, ensuring timely responses and clear documentation.Manage employee records and ensure documentation is complete and compliant with local regulationsAssist with onboarding processes for new hires, including preparation of documentation and induction materialsRepresent the company professionally when speaking with clients or guestsEnsure the office remains tidy, well-organised, and compliant with company standardsTake initiative to improve systems and workflows where appropriateRequirementsLanguage: Fluent in English (C1 minimum in both, verbal and written) French language is a plusExperience: Minimum 2 years in an administrative / Public Relations roleStrong personality with the confidence to manage multiple stakeholdersHigh attention to detail and excellent organisational skillsAbility to work independently and remain calm under pressureComfortable in a fast-moving environment and able to adapt to evolving needsProficient in MS Office Suite, Google Workspace, and digital filing systemsFamiliarity with Dubai employment laws or administrative processesExperience supporting office launches or new site setups is a strong plusWhy Work With Us?At Médetone, we are committed to creating a dynamic, innovative workplace where every team member has the opportunity to make a real impact.
