Reporting to REPORTING TO: Chief Accountant The Position THE POSITIONResponsible for the accurate, timely, and compliant processing of payroll while ensuring confidentiality, financial integrity, and adherence to labor regulations. The role supports Finance and Human Resources through effective payroll controls, reporting, and collaboration across departments in a luxury hospitality environment. Key Responsibilities Payroll AdministrationProcess payroll data accurately based on approved personnel actions and time records.Review payroll reports from external providers and escalate discrepancies immediately.Prepare payroll checks and coordinate distribution with department leadership.Maintain complete payroll files and documentation for each pay period.Prepare payroll-related journal entries, accruals, and month-end reports.Handle employee deductions, transferred employee balances, and cheque requests.Ensure payroll registers and reconciliations are reviewed and formally approved by Finance leadership.Compliance & ControlsEnsure compliance with local labor laws related to wages, overtime, classification, and service charges.Process unemployment claims and wage garnishments in accordance with regulations.Support internal and external audits, including labor compliance and workers' compensation.Reconnect payroll totals to approved time and attendance records.Maintain audit trails and supporting documentation.Verify payroll accuracy to prevent overpayments, duplicate payments, or errors.Coordinate recovery of incorrect payments when required.Prepare labor cost and productivity reports for Finance and department heads.Ensure payroll taxes are calculated, remitted, and reported accurately and on time.Stakeholder CollaborationWork closely with Human Resources on employee status changes and leave accruals.Reconcile banquet and F&B tips and service charges with Income Audit.Respond professionally to employee payroll inquiries and documentation requests.Support Accounting functions as required.CompetenciesBehavioralHigh level of integrity, discretion, and professionalism.Strong analytical and problem-solving skills.Excellent communication and relationship-building abilities.Organized, detail-oriented, and deadline-driven.Proactive mindset with commitment to continuous improvement.Embrace and practice the company's legacy values and competencies in all, team, and stakeholder interactions, acting as a role model for the desired culture and behaviors.TechnicalSolid understanding of payroll processes and basic accounting principles.Proficiency in payroll systems and Microsoft Office applications.Strong command of written and spoken English.
