Job Description
At Cloud Spaces we have an opportunity for a detail-oriented and highly organized Operations Coordinator to support the Operations Manager and the Operations Department across all locations. This role is essential in ensuring structured coordination, accurate record-keeping, and timely execution of operational activities, contributing to consistent service delivery and high operational standards.The Operations Coordinator will provide comprehensive administrative and operational support to the Operations Manager, acting as a central point of coordination for operational activities, communications, and follow-ups. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic operational environment.Key ResponsibilitiesOperational Support & CoordinationProvide administrative and operational support to the Operations Manager, ensuring effective organization, prioritization, and follow-through on daily operational mattersAct as a coordination point for operational requests, communications, and follow-ups on behalf of the Operations DepartmentSupport planning, scheduling, and preparation of operational activities, meetings, and action plansTrack operational priorities, deadlines, and commitments to ensure timely completionCoordinate operational activities across all Cloud Spaces locations in line with approved processes and standardsMonitor ongoing operational tasks and proactively escalates risks, delays, or gapsERP, Reporting & Data ManagementMaintain accurate and up-to-date operational records within the company ERP system, including inventory, procurement, suppliers, and operational dataEnsure timely and accurate ERP entries to support data integrity and reporting requirementsCoordinate with Finance and relevant departments on ERP-based operational and procurement workflowsExtract, organize, and prepare ERP data for operational reviews, audits, and reportingContracts & DocumentationMaintain organized records of operational documents, contracts, agreements, and approvalsTrack contract validity periods, expiry dates, and renewal timelinesCoordinate contract reviews, renewals, and required actions with internal stakeholders and vendorsEnsure all operational documentation is properly filed, controlled, and audit-readyInventory, Facilities & Vendor CoordinationCoordinate ordering, tracking, and record-keeping of operational supplies and consumables across all locationsMaintain inventory records and support periodic stock checks and reconciliationsMonitor usage trends and report inefficiencies or shortagesSupport coordination of hard and soft facilities management activitiesLiaise with vendors and suppliers, maintaining records of communications, quotations, and service documentationCross-Functional & Project SupportCoordinate with internal departments including Finance, HR, IT, and Marketing to support operational requirementsSupport operational aspects of events, catering, special projects, and new center openingsAssist with pre-opening and post-opening operational activities as requiredPerform additional administrative and operational tasks aligned with the Operations functionSkills & CompetenciesStrong administrative and organizational skills with high attention to detailExcellent coordination, follow-up, and time management abilitiesAbility to manage multiple tasks and priorities effectivelyStrong written and verbal communication skills in EnglishProfessional reporting and documentation skillsProficient in Microsoft Office applications, particularly Excel, Word, and PowerPointAbility to work independently and collaboratively within a teamProactive, reliable, and solution-oriented approachQualifications & Experience1–3 years of experience in operations, administration, or coordinationPrior experience working with ERP systems, including data entry, tracking, and reportingStrong working knowledge of Microsoft Office applicationsValid UAE driving license with willingness to travel between locations as requiredFlexibility in working hours based on operational requirementsEducationDiploma or certification in Business Administration, Operations, or a related field is an advantage#J-18808-Ljbffr
