Your tasks : Administrative and Office Operations Manage office supply inventory and place necessary orders Oversee office maintenance cleaning and security Coordinate office layout seating arrangements and workspace optimization Organize and maintain company records documents and databases Manage all administrative procedures related to immigration: preparing required documents tracking visa and work permit applications coordinating with authorities specialized agencies and embassies and staying updated on regulatory changes. Support foreign employees with their onboarding and legal compliance: preparing arrival documentation monitoring deadlines (renewals authorizations) and coordinating internally to ensure smooth integration and full compliance with legal requirements.Human Resources and Employee SupportAssist with onboarding new employees and organizing orientation sessionsAct as a point of contact for employee inquiries regarding office policiesSupport the HR department with administrative tasks such as payroll contracts benefits and expense reportsPlan and coordinate team-building activities and corporate eventsFinancial and Budget ManagementManage office budgets monitor expenses and process invoicesCollaborate with the finance team on expense reporting and cost optimizationNegotiate contracts with suppliers and service providersSales administration and invoicing:Record contracts amendments signed quotes and customer orders in the internal information systemIssue customer invoicesMonitor accounts receivable and follow up with customers in collaboration with the customer service teamShare all relevant information with internal and external stakeholders including the accounting firmCommunication and CoordinationServe as a liaison between various departments and external stakeholdersManage internal communications and distribute company-wide announcementsSchedule and coordinate meetings travel and logisticsProfile required: 3 years of experience in office administrationOffice management experience.Excellent computer skills including a high degree of proficiency in Microsoft Word Excel Outlook and PowerPoint.Fluent English and ArabicOur values:At DiliTrust our values guide everything we do.
