Field Engineering SecretaryWe are currently seeking a Field Engineering Secretary, reporting directly to the Head of the Department to join our team based in UAE, Abu Dhabi.About usTechnip Energies is a global technology and engineering powerhouse. This role ensures efficient documentation handling, smooth communication flow, timely reporting, and strict adherence to project procedures. The position requires strong organizational skills, attention to detail, and the ability to work in a fast‑paced field environment.Key Responsibilities1. Administrative & Office SupportMaintain organized filing systems for engineering documents, drawings, transmittals, and correspondence.Handle daily office operations: scheduling meetings, managing calendars, preparing minutes of meetings (MoM), and arranging logistics.Coordinate travel arrangements, gate passes, site access, and accommodation for engineering personnel.Track and replenish office supplies and ensure proper functioning of office equipment.2. Document Control & Engineering SupportAssist with logging, distributing, and tracking engineering documents, IFC drawings, technical queries (TQs), site instructions, and method statements.Maintain registers for design changes, RFIs, redline mark‑ups, and as‑built documents.Support field engineers in preparing reports, presentations, and technical submissions.3. Communication & CoordinationServe as the primary point of contact between field engineering, construction teams, subcontractors, and other departments.Prepare, draft, and format letters, memos, emails, and internal communications.Coordinate between site office and head office for documentation flow and reporting deadlines.4. Reporting & Data ManagementPrepare daily, weekly, and monthly status reports for the Field Engineering Manager.Maintain updated logs for manpower mobilization, engineering progress, deliverables tracking, and pending actions.Assist in preparing timesheets, expense reports, and manpower utilization summaries.5. Compliance & RecordkeepingEnsure all project records comply with company and client procedures.Follow strict confidentiality protocols for project documents and correspondence.Support audits and inspections by ensuring timely retrieval and submission of records.Qualifications & ExperienceDiploma or Bachelor’s Degree in Administration, Business, or related field.Minimum 3–5 years of administrative/secretarial experience, preferably in oil & gas, EPC, construction, or engineering projects.Strong knowledge of document control processes and engineering office workflows.Proficiency in MS Office (Word, Excel, PowerPoint), SharePoint, and document management systems.Excellent English communication skills (written & verbal).Key CompetenciesStrong organizational and multitasking skills.High attention to detail and accuracy.Ability to work under pressure in a site/project environment.Professionalism, discretion, and strong interpersonal skills.Proactive and adaptable approach to changing project needs.Preferred SkillsExperience with engineering document management systems (Aconex, Procore, EDMS, etc.).Familiarity with technical terminology used in engineering and construction.Prior experience supporting field engineers in EPC/FEED projects.Starting DateASAPAbout youWe love to hear from you and how you match with this position.
