Job Description

This is a full-time, on-site role located in the United Arab Emirates for an Executive Assistant to the Chair Man. The Executive Assistant will provide high-level administrative support, including managing expense reports, coordinating schedules, organizing meetings, and streamlining operations to ensure efficiency. The role requires proactive communication and the ability to handle confidential matters with professionalism, along with supporting the Chair Man in day-to-day activities.Core Duties and KPIProvide administrative and secretarial support to senior management and executives.Manage calendar scheduling, appointments, and meeting coordination.Prepare and maintain official documents, reports, letters, and presentations.Handle incoming calls, emails, and correspondence professionally.Maintain confidential records and company documents.Coordinate with internal departments and external stakeholders when required.Organize meetings, take minutes, and follow up on action points.Maintain office filing systems and documentation (physical and digital).Assist in travel arrangements, bookings, and itinerary preparation for management.Ensure the smooth functioning of office administrative activities.Support HR and management with basic coordination and documentation tasks when required.Excellent communication and interpersonal skillsStrong organizational and time management abilityHigh level of confidentiality and integrityStrong attention to detail and accuracyAbility to multitask and prioritize work under pressureProfessionalism and discretion when dealing with senior managementStrong coordination and follow-up skillsProblem-solving and proactive attitudeSkillsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Strong document preparation and report writing skillsAbility to manage calendars, meetings, and scheduling systemsExperience in handling office correspondence and email communicationKnowledge of office filing systems and documentation managementAbility to prepare meeting minutes and presentationsBasic knowledge of administrative and office management procedures#J-18808-Ljbffr
