Job SummaryProvide comprehensive coordination and administrative support to the VP’s and the DPW GCC IT leadership team with day-to-day departmental coordination, administrative activities, and executive support.Ensure smooth communication, scheduling, documentation, and follow-up across departmentsAct as a central coordination point between leadership, internal teams, and external stakeholdersJob Type: Contract-6 months (Extendable)Salary: 5K AEDBenefits: Visa & InsuranceKey ResponsibilityExecutive & Department SupportSupport VP’s and Directors with calendars, meetings, travel coordination, and logisticsPrepare meeting agendas, presentations, minutes, and action trackersCoordinate leadership forums, workshops, and departmental reviewsCoordination & CommunicationAct as liaison between VP’s, Directors, teams, and shared servicesTrack and follow up on actions, decisions, and deliverablesEnsure timely circulation of communications, reports, and approvalsDocumentation & ReportingMaintain department records, trackers, org charts, and documentationConsolidate inputs for management reports, dashboards, and presentationsEnsure documents comply with corporate standards and governanceOperational & Administrative SupportSupport budgeting coordination, invoices, POs, and expense tracking (as required)Coordinate onboarding/offboarding activities within the departmentAssist with audits, compliance reviews, and information requestsTechnical CompetenciesOffice Productivity Tools: Proficient in MS Office Suite (Excel, Word, PowerPoint, Outlook) and collaboration platforms (SharePoint, Teams).Documentation & Reporting: Skilled in drafting official correspondence, managing departmental records, and preparing analytical reports and dashboards.Process Management: Knowledge of DP World administrative, HR, and procurement systems and workflows.Budget Coordination: Understanding of purchase requisition (PR), purchase order (PO), and expense management processes.Communication: Strong written and verbal communication skills in English; Arabic proficiency preferred.Information Security Awareness: Adheres to DP World’s Information Security Management System (ISMS) and confidentiality protocols.Qualifications, Experience and SkillsEssential Education: Bachelor’s Degree or Diploma in Business Administration or related fieldExperience: Minimum 5 years in executive coordination, administration, or HR support roles within a corporate or IT environment.Skills:Excellent organizational and multitasking capabilities.Strong communication and interpersonal skills.Proficiency in MS Office and DPW digital tools (Teams, SharePoint, Power BI).Attention to detail, confidentiality, and process ownership.#J-18808-Ljbffr
