Business Development Administrator (Sales Support) – Digital Media Agency | DubaiA well-established digital media agency in Dubai is hiring a Business Development Administrator to provide structured, high-quality administrative support to the commercial function. This role is focused on sales coordination, documentation, CRM hygiene, and internal process support (not a sales/closing role).Key responsibilitiesMaintain accurate CRM records (leads, contacts, opportunities, activities) and ensure data qualitySupport the end-to-end sales administration process: enquiry logging, follow-up scheduling, and status trackingPrepare and format sales documentation including proposals, quotations, capability decks, and client onboarding packs (using approved templates)Coordinate internal inputs for proposals (scope, timelines, pricing, credentials) and manage version controlSchedule client and internal meetings, circulate agendas, capture actions, and track completionManage tender / vendor registration documentation and ensure submissions are complete and on timeProduce weekly sales support reports (pipeline status, activity logs, outstanding actions, documentation tracker)Support basic contract administration (document collation, signatures, filing) in line with internal policiesRequirements2+ years’ experience in sales administration, business development support, or commercial coordinationStrong written and verbal English with professional email etiquetteHigh attention to detail and strong document formatting skills (PowerPoint and Excel/Sheets essential)Confident working with CRM systems (HubSpot/Salesforce/Zoho/Pipedrive or similar)Strong organisational skills, ability to prioritise, and comfort working to deadlinesDiscreet and professional approach when handling sensitive commercial informationPreferredExperience supporting a sales team within an agency, professional services, or B2B environmentFamiliarity with proposal/tender processes and document control standardsDesired skills (Sales Support / Admin-focused)Sales administration and coordination (pipeline tracking, follow-up scheduling, task management)CRM proficiency (HubSpot / Salesforce / Zoho / Pipedrive) with strong data hygiene and reportingAdvanced business communication and professional email etiquetteStrong document preparation and formatting (PowerPoint, Word, Excel / Google Sheets)Proposal, quotation, and capability deck coordination (templates, version control, internal approvals)Tender / vendor registration documentation support and deadline managementBasic understanding of digital marketing services and terminology (media, content, performance, production)Marketing support skills (nice to have)Email marketing support (Mailchimp / HubSpot Marketing / Campaign setup support, list hygiene, basic reporting)Social media coordination (content calendars, scheduling tools, basic community management support)Copy coordination and proofreading (client-facing and internal materials)Basic analytics/reporting (campaign performance summaries, simple dashboards, KPI tracking)Working style / soft skillsHighly organised with strong attention to detailProcess-driven, reliable, and comfortable working to deadlinesStrong stakeholder management (able to chase inputs professionally and keep actions moving)Discreet with sensitive commercial informationProactive problem-solving and ability to prioritise in a fast-paced environment#J-18808-Ljbffr
