Job Description
OverviewWe are seeking a highly organized and proactive Government Relations Specialist to support and streamline the administrative operations of our Government Relations Team across the UAE. This role is key to enhancing internal efficiency and ensuring smooth coordination between branches. The successful candidate will be responsible for managing 100% of the teams administrative workload and supervising the GRO Coordinators across the UAE and collaborating closely with team members.ResponsibilitiesAdministrative OwnershipOwn and manage all administrative processes related to government relations across AECOMs UAE branchesMaintain and update trackers logs and databases (residence visa status classification records licensing renewals etc.)Coordinate the preparation printing and delivery of official documents/applicationsDraft proofread and format internal and external correspondenceOrganize and archive team documents digitally and physically ensuring easy retrieval and version controlTeam SupervisionSupervise and provide daily support to the GRO Coordinators across branchesMonitor task assignments set deadlines and follow up to ensure completionServe as a central point of contact for internal process consistency across branchesAssist the Government Relations Manager in implementing team-wide administrative standardsProcess Improvement & CommunicationCreate and maintain standardized templates and internal forms used by the GRO teamFlag process gaps and propose solutions for improved efficiency and complianceCommunicate effectively with internal stakeholders to gather and organize required documentationProvide clear instructions and support to team members regarding admin proceduresSkills & CompetenciesStrong administrative and organizational skills with attention to detailProven ability to lead junior staff or coordinate multi-site teamsExcellent written and verbal communication skillsProficiency in MS Office (Word Excel PowerPoint Outlook SharePoint)Familiarity with UAE government platforms (MOHRE GPSSA GDRFA) is a plusPersonal AttributesProactive and solution-orientedHighly dependable and discreet with sensitive documentsStrong time management and ability to prioritize tasks independentlyCollaborative team player who can work across multiple locationsQualificationsEducation & ExperienceDiploma or bachelors degree in Business Administration Public Administration or related fieldMinimum 4 - 7 years of experience in a coordinator or administrative support rolePrior experience in government relations and/or HR is preferredAdditional InformationAbout AECOMAECOM is proud to offer comprehensive benefits to meet the diverse needs of our employees.
