Administrative Specialist Senior - Mathematics DivisionMCCCD - Paradise Valley Community CollegeDuration: 3 months from projected start dateLocation: 18401 N 32nd St., Phoenix, AZ 85032Rate: $19.00 per hour (W‑2)Position closing: 4/11/2024 3:00 PMThe resource must be able to clear a 7‑year Package A background check and sign a non‑disclosure agreement. Only local candidates are considered; applicants must state current location and be available for in‑person interviews within one week of the posting close date, and must be able to start within two weeks of an offer.Required education and experience:Associate’s degree from a regionally accredited institution plus two years of administrative office support or related experience providing secretarial, administrative, and coordination activities.OR an equivalent combination of degree and directly related full‑time work experience sufficient to perform the essential duties of the job.Job Summary – Responsibilities:Provide administrative and secretarial support to the Mathematics division; maintain financial and academic records/files; communicate policies, procedures, event or program information as necessary; maintain the master calendar for Mathematics by scheduling appointments, programs, committees, and divisional meetings/events; provide office reception; manage a multi‑line phone system; assist with the planning and implementation of divisional events/programs and services including inter‑campus collaborations; support the division using technology systems such as FMS, SSRS, HCM, SIS, Google Workspace, 25‑live reservation system, etc. (25% of time)Monitor and coordinate services such as maintenance, media, printing, and word processing with college/district departments and external organizations; coordinate and provide research assistance on special projects and programs; maintain statistical data for programs and services; order textbooks and supplies; assist faculty with travel booking, purchasing, and reporting; create purchase orders and requisitions; maintain and manage Pro‑Card and track expenditures; assist with budget preparation, monitoring, and maintenance; assist with division mail pickup and distribution. (25% of time)Assist Division Chair with division responsibilities including scheduling residential, adjunct, and dual enrollment instructor evaluations, division classes, internal and external meetings, and meeting rooms. (25% of time)Support residential and adjunct Mathematics division faculty by collaborating with faculty and other staff; access class rosters; order and deliver supplies to instructors and classrooms; make copies of course materials; provide basic computer and copier support; prepare and maintain confidential personnel and payroll records; ensure documents remain current; assist with faculty orientation; develop divisional promotional materials; perform other assigned duties commensurate to the grade level of the position.
