Success in this role depends on strong attention to detail, consistency, organizational discipline, accountability, and clear written communication—especially when identifying missing or unclear information.Key ResponsibilitiesAdministrative Data Management & Record KeepingYou will play a central role in maintaining clean, structured, and reliable administrative datasets that support internal reporting and operational decision-making.Your Responsibilities Will Include:Updating and maintaining spreadsheets and internal databases on a daily basis using Google Sheets or Microsoft ExcelReviewing data entries for completeness, formatting consistency, and accuracyStandardizing information across records (names, phone numbers, email formats, region identifiers, internal notes)Identifying duplicate records, obvious errors, inconsistencies, or missing fieldsFlagging incomplete or unclear data for clarification and follow-upEnsuring structured file naming conventions and folder organizationSupporting reporting functions by maintaining reliable and well-organized datasetsMaintaining accurate logs of updates made and corrections implementedTask & Administrative Request CoordinationYou will support workflow organization and ensure administrative requests are handled efficiently and on time.Responsibilities Include:Reviewing incoming administrative requests and categorizing them according to established workflowsAssigning or routing tasks to the appropriate team membersTracking task progress from initial assignment through final completionFollowing up on overdue, stalled, or incomplete itemsMaintaining clear documentation of task status and updatesCommunicating clearly when information is missing or when clarification is requiredTracking Systems, Logs & ReportingAccurate tracking is essential for operational clarity. You will help maintain transparency across teams through detailed monitoring and reporting.Key Responsibilities:Updating operational trackers for completed, pending, and in-progress workLogging daily activities including changes made, issues identified, and follow-up itemsPreparing brief daily or periodic progress summariesMonitoring recurring data issues or process gapsEscalating patterns that indicate workflow inefficienciesSupporting internal reporting processes with organized, up-to-date documentationScheduling & Coordination SupportWhen required, you will provide light coordination support to help ensure timelines and administrative milestones are met.Tasks May Include:Confirming availability across teamsUpdating calendars based on provided instructionsSending reminders for deadlines or required stepsTracking onboarding progress, checklist completion, or milestone achievementSupporting internal coordination efforts to prevent missed stepsQuality Assurance & Documentation StandardsMaintaining clean systems is central to this position. You will support operational reliability by ensuring all records meet documentation standards.Responsibilities Include:Reviewing work prior to submission for compliance and formatting consistencyMaintaining standardized folder structures and naming conventionsEnsuring documents remain accessible, organized, and easy to locateSupporting internal process documentation updates when necessaryHelping maintain SOP (Standard Operating Procedure) compliancePerformance ExpectationsWe are looking for consistent, dependable performance.
