Job Description

Job DescriptionThe Admin Officer will provide comprehensive administrative support to the VP Projects and assist in coordinating activities across the Ground Operations Flight Operations and the team. This role is critical in ensuring smooth operations effective communication and efficient administrative processes within the department.Provide comprehensive administrative support to the VP Projects including managing calendars scheduling meetings preparing correspondence and handling confidential informationManage and maintain accurate filing systems (both electronic and paper) for all related documents ensuring easy retrieval and compliance with record retention policies. Prepare and process purchase orders invoices and expense reports ensuring accuracy and adherence to company policies.Assist with the preparation of presentations reports and other documents as required. Maintain accurate records of aircraft movements fuel sales and other transactions.Coordinate with internal departments (e.g. Finance IT HR) to resolve administrative issues and ensure smooth operations.Assist in the preparation and management of budgets tracking expenses and identifying cost-saving opportunities.Provide excellent customer service to clients responding to inquiries and resolving issues in a timely and professional manner.Assist with the coordination of special events and VIP services for clients.Ensure compliance with all relevant aviation regulations and company policies.Assist with the preparation of reports and documentation required by regulatory agencies.Maintain awareness of industry trends and best practices related to administration.Skills DescriptionMinimum of 2-3 years of experience in an administrative or project support roleBachelors Degree in Business Administration Public Administration or a related fieldProficient in Microsoft Office Suite (Word Excel PowerPoint Outlook)Excellent ability to work effectively in a team environment and collaborate with diverse stake holders Strong planning and organisational skills Strong communication skills in both written and oralStrong planning organizing and integration skillsStrong knowledge in the development and implementation of policies & proceduresMeticulous attention to detailStrong drive to grow capabilitiesRequired Experience:Unclear Seniority Key Skills Fiscal Management,Microsoft Access,Employee Evaluation,Military Experience,Business Management,Strategic Planning,Project Management Software,Administrative Experience,Budgeting,Human Resources,Financial Management,Word Processing Employment Type : Full-Time Department / Functional Area: Administration Experience: years Vacancy: 1
