Job Description

Executive Assistant - Core Duties and ResponsibilitiesCoordinate, integrate, and administer all correspondence from the SVP HR office with a high degree of accuracy, including email, phone, and general correspondence, and deploy streamlined processes to redirect communications to other businesses as needed.Manage the SVP’s calendar using an optimized weekly schedule, prioritizing critical meetings and appointments, coordinating with internal departments, stakeholders, and external entities, and handling all travel arrangements.Set up meetings, travel, speaking engagements, and other appointments for the SVP with internal and external stakeholders.Ensure the effectiveness of HR communications across the organization, liaising with internal and external parties whose intent is to schedule meetings with the SVP, HR, or any HR Functions Units.Project Tracking and CoordinationSchedule meetings with the SVP HR and HR Function Heads to ensure project implementation and follow‑up.Monitor the HR department’s operational budget and work toward savings.Assist with HR audits and ensure all necessary documents are submitted with accurate information to the auditors.HR Staff ManagementTrack daily attendance of staff, ensuring compliance, and submit monthly attendance reports to the SVP HR.Maintain a record and schedule for staff leaves throughout the year, ensuring policy compliance.Monitor and ensure all HR staff attend recommended trainings per their Training Needs Analysis (TNA).HR Reports and PreparationSupport the preparation of all departmental reports, submitting them on time.Supervise the development and production of corporate presentations in line with brand guidelines to support projects and objectives related to the SVP HR office.Handle HR announcements in line with directives and policy.HR Policies, Procedures, Process, Guidelines, Delegation of Authority, HandbookMaintain a clear understanding of all HR policies and processes and ensure adherence.Drive policy compliance by reviewing incoming documents on SharePoint and Oracle for approvals, ensuring compliance with policies and procedures.Ad HocHandle a significant amount of ad hoc, project‑based work to support the SVP HR and the department, including analyzing and investigating a wide range of HR-related matters, preparing reports, and proposing recommendations.Drive compliance‑related projects to ensure root‑cause resolution and prevent recurrence.Monitor the progress of value‑add projects in the department, liaising closely with the SVP HR.Operating EnvironmentOffice‑based role.Formal EducationBachelor’s Degree and/or Postgraduate degree preferred.Work ExperienceMinimum of 5 years in a similar role, preferably in the GCC region, and experience within a well‑known organization.Experience working in an HR department is an added advantage.Skills and KnowledgeExcellent oral and written communication skills, bilingual with high fluency in English; Arabic is a plus.Ability to work well under pressure, multitask, and prioritize independently.Previous supervisory experience and solid understanding of key principles of people management.Strong interpersonal skills, able to build and maintain effective relationships with internal and external stakeholders.Ability to handle personal sensitivities and use discretion to prevent complications in a multicultural environment.Experience with financial data, budgets, project tracking tools, document management methodologies, and regulation/compliance.Solid understanding of project management principles and exposure to corporate project methodologies.Experience in the Middle East region, particularly Dubai or the UAE, within government, semi‑governmental entities, or reputable multinational corporations.Proficiency in all MS Office products.Willingness to continuously acquire new competencies and accept new challenges.Office Management/Administration/Project Management training and certifications, such as a certificate in formal training or seminars as an executive assistant.Job InformationJob ID: 304Posting Date: 11/14/2025, 10:37 AMLocation: Dubai World Trade Centre, UAESchedule: Full time#J-18808-Ljbffr
