Position SummaryThe American University in the Emirates is seeking a highly motivated and detail-oriented Recruitment Coordinator to assist and coordinate recruitment and onboarding processes while ensuring timely follow-ups with all internal and external stakeholders. The role focuses on operational support, coordination, documentation, and follow‑up across the recruitment lifecycle, in alignment with university policies and procedures.Minimum Qualifications and ExperienceBachelor’s degree in Human Resources, Business Administration, or a related field from an accredited university.Minimum of 3 years of experience supporting recruitment, selection, and onboarding activities.Hands‑on experience with recruitment tools, LinkedIn, and online job portals.Experience assisting with talent acquisition and onboarding processes.Good understanding of recruitment practices and procedures.Strong planning, organizational, and follow‑up skills.Excellent interpersonal and written/verbal communication skills.Good presentation and coordination skills.Key Responsibilities and Essential FunctionsRecruitment Support & CoordinationAssist in coordinating the end‑to‑end recruitment process, including job postings, application tracking, screening support, interview scheduling, and follow‑ups.Support the preparation of job descriptions and person specifications as required.Maintain and update candidate pipelines for current and future hiring needs.Monitor recruitment requirements for colleges and departments and follow up on open requests.Coordinate and follow up with Heads of Colleges and Departments on vacancy status, candidate progress, and hiring timelines.Support the review and screening of applications based on predefined selection criteria.Coordinate interview schedules, panels, and logistics, and follow up with candidates and interviewers.Assist with reference checks for recommended candidates.Documentation, Follow‑Up & ComplianceEnsure all recruitment requests are approved and supported with the required documentation.Maintain accurate and up‑to‑date recruitment records, candidate databases, and correspondence.Document interview outcomes and ensure proper filing in line with university standards.Follow up with candidates to ensure submission of required credentials (degrees, transcripts, experience letters, promotion letters, etc.) for hiring, clearance, and visa processes.Coordinate with the Public Relations Office regarding documentation required for security clearance.Offers, Onboarding & Internal CoordinationAssist in preparing salary proposals in line with approved salary scales and follow up on approvals.Support the preparation of employment offers and contracts for faculty and administrative staff.Coordinate with HR Officers on flight and hotel arrangements for candidate visits and new hires.Assist HR Officers in coordinating onboarding plans, orientation sessions, website profiles, photos, and welcome announcements.Provide basic information and guidance to new hires on HR and work‑related matters and follow up on pending requirements.Records, Reporting & AdministrationEnsure all hiring documents are completed and filed correctly in employee hard copy files and the HRMS portal.Maintain records of recruitment‑related expenses such as job advertisements, travel, and accommodation.Assist in preparing recruitment reports, statistics, and follow‑up trackers for management.Support the preparation of reports for CHEDS (Center for Higher Education Data and Statistics) and other internal or external requirements.Assist the Payroll Division by providing recruitment and hiring‑related data and reports as needed.Skills & CompetenciesStrong coordination and follow‑up skillsHigh attention to detail and accuracyAbility to manage multiple tasks and deadlinesProfessional communication and stakeholder coordinationAbility to work effectively in a fast‑paced academic environmentConfidential and ethical handling of sensitive informationAbout American University in the Emirates (AUE)The American University in the Emirates (AUE) invites applications from well‑qualified candidates for a range of faculty and administrative positions.
